Welcome to Al Rahman Travel. These Terms and Conditions govern your use of our services and your booking of Umrah packages. By engaging our services, you acknowledge that you have read, understood, and agree to be bound by these terms. Please read them carefully before making any reservations.
1. Company Information and Licensing
Al Rahman Travel is a licensed and IATA-certified travel agency headquartered in New York, specializing in Umrah and Hajj travel services across the United States. Our certification ensures compliance with international travel standards and provides you with protection and reliability throughout your sacred journey.

2. Booking and Reservations
2.1 Package Selection
Al Rahman Travel offers various Umrah packages designed to accommodate different budgets and preferences. All package details, including accommodation, transportation, and services, are described on our website and in our promotional materials. We reserve the right to modify package offerings based on availability and operational requirements.
2.2 Booking Process
To secure your reservation, clients must:
- Complete the booking form with accurate personal information
- Submit required travel documents (passport copies, photographs, etc.)
- Pay the required deposit as outlined in Section 3: Payment Terms
- Receive written confirmation from Al Rahman Travel
Important Note: Your booking is not confirmed until you receive written confirmation from our team and the initial deposit has been processed.
2.3 Accuracy of Information
Clients are responsible for ensuring all information provided during booking is accurate and matches their travel documents. Any discrepancies may result in visa rejection, travel delays, or additional fees. Al Rahman Travel is not liable for issues arising from incorrect information provided by the client.

3. Payment Terms
3.1 Deposit Requirements
A non-refundable deposit of 500 per person (or as specified in your package) is required at the time of booking to secure your reservation. This deposit will be applied toward the total package cost.
3.2 Payment Schedule
Full payment must be received according to the following schedule:

3.3 Accepted Payment Methods
We accept the following payment methods:
- Credit Cards (Visa, MasterCard, American Express)
- Debit Cards
- Bank Wire Transfers
- Certified Checks or Money Orders
- PayPal (may incur additional processing fees)
Note: Credit card payments may be subject to a processing fee of 3-4% to cover transaction costs.
3.4 Currency
All prices are quoted in United States Dollars (USD) unless otherwise specified. Prices are subject to change due to currency fluctuations, fuel surcharges, or governmental fee increases until full payment is received.
4. Cancellation and Refund Policy
4.1 Cancellation by Client
Clients who need to cancel their booking must notify Al Rahman Travel in writing via email. Cancellation fees will apply as follows:
- 90+ days before departure: Deposit forfeited; remaining balance refunded
- 60-89 days before departure: 50% of total package cost forfeited
- 30-59 days before departure: 75% of total package cost forfeited
- Less than 30 days before departure: 100% of total package cost forfeited (no refund)
Please note that airline tickets, visa fees, and hotel reservations are typically non-refundable once processed, and these costs will be deducted from any refund amount.
4.2 Cancellation by Al Rahman Travel
We reserve the right to cancel any booking due to insufficient enrollment, force majeure, or other circumstances beyond our control. In such cases, clients will receive a full refund of all payments made, or may choose to transfer their booking to an alternative date or package of equal value.
4.3 Travel Insurance Recommendation
We strongly recommend that all travelers purchase comprehensive travel insurance to protect against unexpected cancellations, medical emergencies, trip interruptions, and other unforeseen circumstances. Compare travel insurance options here.
5. Travel Documents and Visa Requirements
5.1 Passport Requirements
All travelers must possess a valid passport with at least six (6) months validity remaining from the date of return. Passports must have at least two blank pages for visa stamps. Clients are solely responsible for ensuring their passports meet these requirements.
5.2 Visa Processing
Al Rahman Travel will assist in processing Umrah visas for all clients. However, the final decision on visa approval rests with the Saudi Arabian authorities. We cannot guarantee visa approval, and clients are responsible for providing all required documentation in a timely manner.
Required documents typically include:
- Valid passport (original and copy)
- Recent passport-sized photographs (specific size requirements apply)
- Completed visa application form
- Proof of vaccination (Meningitis, COVID-19, and others as required)
- Mahram documentation (for female travelers under 45 years of age, as per Saudi regulations)
5.3 Visa Denial
In the event of visa denial by Saudi authorities, Al Rahman Travel will refund the package cost minus non-refundable expenses including but not limited to visa application fees, processing charges, and any tickets or accommodations already purchased. We are not responsible for visa denials and cannot provide refunds for services already rendered.
6. Package Inclusions and Exclusions
6.1 Typical Package Inclusions
Our Umrah packages generally include:
- Round-trip airfare from select US cities
- Airport transfers in Saudi Arabia
- Hotel accommodation in Makkah and Madinah (star rating as per package selected)
- Umrah visa processing
- Basic Ziyarat (religious site visits) tours
- Services of experienced tour guides
- 24/7 customer support during your trip
6.2 Typical Package Exclusions
Unless explicitly stated, packages do NOT include:
- Travel insurance
- Meals (except breakfast if specified in package)
- Personal expenses (shopping, laundry, phone calls, etc.)
- Additional baggage fees
- Tips and gratuities
- Optional tours or upgrades not specified in the package
- Any expenses of a personal nature
Please review your specific package details carefully as inclusions may vary by package type and season.
7. Flight and Airline Policies
7.1 Flight Schedules
Flight schedules are subject to change by airlines without prior notice. Al Rahman Travel will make every effort to notify clients of any schedule changes but is not liable for delays, cancellations, or route changes made by airlines.
7.2 Baggage Allowance
Baggage allowances are determined by the operating airline and ticket class. Clients should verify baggage policies directly with the airline or contact our office for assistance. Excess baggage fees are the responsibility of the traveler.
7.3 Special Requests
Special requests such as meal preferences, seat assignments, wheelchair assistance, or other accommodations should be communicated to Al Rahman Travel at the time of booking. While we will make every effort to fulfill these requests, we cannot guarantee their provision as they are subject to airline and hotel availability.
8. Accommodation Standards
8.1 Hotel Ratings and Selection
Hotel accommodations are selected based on proximity to Haram, cleanliness, and service quality. Hotel star ratings are based on local Saudi Arabian classification systems, which may differ from international standards. Al Rahman Travel reserves the right to substitute hotels of similar or better quality if necessary.
8.2 Room Sharing
Unless you book a private room, accommodations are based on shared occupancy (typically 2-4 persons per room depending on package). Roommate assignments are made by Al Rahman Travel, and we strive to match travelers by gender, age group, and preferences when possible.
8.3 Room Upgrades
Room upgrades are subject to availability and may incur additional charges. Please contact us in advance if you wish to request an upgrade.
9. Health and Safety
9.1 Medical Fitness
Umrah involves considerable physical activity including walking long distances. Clients must ensure they are medically fit to travel and participate in all activities. Those with pre-existing medical conditions should consult their physician before booking.
9.2 Vaccinations
Saudi Arabia requires specific vaccinations for Umrah travelers. At minimum, travelers must provide proof of:
- Meningococcal meningitis vaccination (ACYW135)
- COVID-19 vaccination (as per current Saudi requirements)
- Other vaccinations as mandated by Saudi health authorities
Clients should consult with their healthcare provider or visit the CDC Travel Health Website for the most current health requirements.
9.3 Travel Insurance for Medical Coverage
We strongly advise purchasing travel insurance that includes medical coverage, emergency evacuation, and repatriation. Al Rahman Travel is not responsible for medical expenses incurred during your trip.
10. Liability and Indemnification
10.1 Limited Liability
Al Rahman Travel acts solely as an intermediary between clients and service providers (airlines, hotels, transport companies, etc.). We are not liable for:
- Acts, errors, omissions, or negligence of third-party service providers
- Delays, cancellations, or schedule changes by airlines or other carriers
- Loss, damage, or theft of personal belongings
- Personal injury, illness, or death during the trip
- Acts of God, natural disasters, political unrest, terrorism, or other force majeure events
- Failure to obtain necessary travel documents or visa denial
10.2 Client Responsibility
Clients agree to indemnify and hold harmless Al Rahman Travel, its employees, and agents from any claims, damages, or expenses arising from their participation in the Umrah journey, except where such claims result from our gross negligence or willful misconduct.
10.3 Force Majeure
Al Rahman Travel shall not be held liable for failure to perform its obligations due to circumstances beyond its reasonable control, including but not limited to: natural disasters, war, civil unrest, government restrictions, pandemics, airline or supplier bankruptcy, or acts of terrorism.
11. Code of Conduct
11.1 Respectful Behavior
All travelers are expected to conduct themselves in a manner respectful of Islamic values and Saudi Arabian laws and customs. This includes:
- Dressing modestly in accordance with Islamic guidelines
- Respecting prayer times and religious sites
- Refraining from photography in restricted areas
- Following instructions from tour guides and group leaders
- Complying with all local laws and regulations
11.2 Consequences of Misconduct
Clients who engage in illegal activities, disruptive behavior, or actions that violate Saudi law or Islamic principles may be removed from the group without refund. Al Rahman Travel is not responsible for any legal consequences faced by clients due to their own actions.
12. Changes to Terms and Conditions
Al Rahman Travel reserves the right to modify these Terms and Conditions at any time. Any changes will be posted on our website with an updated "Last Updated" date. Clients are encouraged to review these terms periodically. Continued use of our services following any changes constitutes acceptance of the revised terms.
13. Dispute Resolution and Governing Law
13.1 Governing Law
These Terms and Conditions shall be governed by and construed in accordance with the laws of the State of New York, United States, without regard to its conflict of law provisions.
13.2 Dispute Resolution
Any disputes arising from these Terms and Conditions or your use of our services shall first be attempted to be resolved through good-faith negotiations. If negotiations fail, disputes may be submitted to binding arbitration in New York, NY, in accordance with the rules of the American Arbitration Association.
13.3 Class Action Waiver
You agree that any dispute resolution proceedings will be conducted only on an individual basis and not in a class, consolidated, or representative action.
14. Privacy and Data Protection
Your privacy is important to us. Al Rahman Travel collects and processes personal information in accordance with our Privacy Policy. By using our services, you consent to the collection, use, and sharing of your information as described in our Privacy Policy.
We may share your personal information with:
- Airlines, hotels, and other service providers necessary to fulfill your booking
- Government authorities for visa processing and compliance purposes
- Payment processors for transaction completion
We implement appropriate security measures to protect your personal data from unauthorized access, alteration, or disclosure.

16. Acknowledgment and Acceptance
By booking an Umrah package with Al Rahman Travel, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions. If you do not agree to these terms, please do not proceed with booking.
